Strategic fit

01
What problem does Pilbara solve for university leadership?

Pilbara gives leaders a consistent, whole-of-institution view of revenue, cost and margin. Instead of commissioning a new spreadsheet analysis for each program or decision, finance and planning teams work from an enduring university model that can answer recurring questions across the institution.

Who uses the model?

The model supports presidents and vice-chancellors, CFOs, provosts, deans, finance teams, planning teams and institutional analysts. Different users can examine the same governed model at the level relevant to their decision—from institution and faculty views to programs, subjects and delivery instances.

How does this change the finance team’s role?

It shifts effort from repeatedly gathering, reconciling and reshaping data toward interpreting results, testing scenarios and advising leaders. Pilbara handles ingestion, cleansing and modelling across core university datasets, while the finance team retains an essential role in validation, governance and decision support.

Does Pilbara replace our ERP, student system or data warehouse?

No. Pilbara Insights uses data already available across the institution to create a decision model. Source systems remain the systems of record; the model connects their relevant data through governed relationships and drivers so leaders can analyse how resources, activities and academic delivery fit together.

Data & automation

02
What data does Pilbara typically ingest?

Common sources include finance and general-ledger data, HR and payroll, timetables, facilities, student management and research activity. The exact scope depends on the questions the institution needs the model to answer and the data available.

How are HR and student-management datasets brought into the model?

Pilbara works with the institution to map, cleanse and validate extracts from the relevant source systems. The platform then uses repeatable data flows and configured relationships to update the model. Public product information does not prescribe one universal file format or connector method; those details are agreed during discovery around the university’s architecture and governance requirements.

What is automated, and what still needs human oversight?

Repeatable ingestion, transformations, model calculations and reporting can be automated. Human oversight remains important for source approvals, mapping decisions, driver design, exception handling and validation. Automation reduces repetitive preparation; it does not remove financial governance.

How does the platform reduce data wrangling?

The institution does not need to rebuild the analysis program by program. Pilbara prepares and connects recurring datasets once, applies repeatable modelling logic, and refreshes the model as new data becomes available. Pilbara reports that customers have achieved a 75% reduction in implementation and maintenance timeframes. That is a customer-reported outcome, not a guaranteed 75% reduction in every university’s data-wrangling hours.

Security & governance

03
Where is Pilbara Insights hosted?

Pilbara Insights is a cloud-based platform delivered using Microsoft Azure technology. Pilbara describes this environment as enabling organisation-wide access to governed cost-model data and insights without relying on disconnected local models.

How is university data protected in the Azure cloud?

Pilbara states that Pilbara Insights has achieved SOC 2 Type II compliance under AICPA/SSAE 18 standards, with an unqualified opinion—independent validation of the controls used to protect customer data in the solution. Security teams should review current control documentation and confirm institution-specific requirements such as access, identity, residency, retention and recovery during due diligence.

Can access be aligned with university governance?

The model is intended to provide governed, shared analysis rather than uncontrolled spreadsheet copies. Exact identity, role, access and deployment requirements should be confirmed with Pilbara during technical discovery because public product materials do not define one configuration for every institution.

Does the student dataset require individual student identities?

Pilbara’s public examples describe using academic program and subject participation, student numbers and student mix rather than needing individual student identities for the cost-model purpose. The exact fields should be minimised and agreed through the university’s data-governance process.

Causal models

04
What does ‘100% causal’ mean?

It means modelled costs follow explicit cause-and-effect relationships between resources, activities and outputs. Pilbara uses institutional data to configure driver formulas and relationships, allowing values to flow through the model in a traceable way.

How is that different from a traditional proxy-based model?

A proxy spreads cost using a convenient broad measure—such as total enrolment or EFTSL—even when that measure does not explain how the resource is consumed. A causal model uses the most relevant available operational relationship for each material flow. Leaders can inspect and challenge the driver rather than accept a hidden allocation.

Does a causal model eliminate judgement?

No. Universities still need to agree scope, mappings, drivers and validation rules. The difference is that those choices are explicit, reviewable and applied consistently, rather than buried in one-off spreadsheet formulas or broad allocations.

Why does whole-of-institution modelling matter?

Programs share subjects, staff, facilities and support services. Looking at one program in isolation can miss those many-to-many relationships. A bottom-up institution-wide model connects the full operating structure so leaders can see costs, margins and cross-subsidies in context.

Implementation

05
Can the first model really be delivered in four weeks?

Four weeks is Pilbara’s typical time to first-model delivery when core datasets are accessible and the scope is agreed. Other Pilbara materials describe a four-to-seven-week range. Timing depends on source access, data quality, model scope and the availability of university reviewers, so the schedule is confirmed during discovery rather than treated as an unconditional guarantee.

What happens during the four-week implementation?

Pilbara and the university define the priority decisions, model scope, source systems and governance requirements; profile and validate the agreed datasets; configure causal drivers and relationships; then calculate, reconcile and review the first model and reports.

What does the university need to provide?

The institution provides access to agreed raw data, knowledgeable owners for each source, finance and academic context, and reviewers who can validate mappings and outputs. Pilbara prepares the data, builds the model and reports, and guides the validation process.

What happens after the first model?

The model is designed to evolve with the institution. New periods can be loaded, mappings and drivers can be governed, and reports can be refreshed without rebuilding the analytical logic from scratch. That enduring structure turns the implementation into an operating capability rather than a one-time study.

From source data to a reviewed first model

The sequence is repeatable; the exact schedule depends on accessible data, agreed scope and timely university review.

1

Scope the decisions

Agree the priority questions, model boundaries, source systems, responsibilities and governance requirements.

2

Ingest and profile

Receive the agreed finance, HR, student, timetable and other datasets, then profile and validate their structure.

3

Build the causal model

Map and cleanse the data, configure reviewed drivers and relationships, and calculate the institution-wide model.

4

Reconcile and deliver

Review outputs with university owners, resolve exceptions, reconcile results and deliver the first reporting views.
